Reconcile the invoice line with the service basis
The received freight forwarder’s invoice may differ from the initial rate due to changes in the scope of work, period, or conditions.
But the difference does not prove either an error or the legitimacy of the charge.
First, you need to link each line to the contract and the actual event.
For a manager, a register of disputed lines is more useful than a verbal discussion of the total amount.
It allows you to separate an incorrect rate, a repeated charge, a different payer, and missing information.
These different reasons are highlighted, for example, in the dispute procedure for a Maersk invoice.
Let’s discuss forwarder charge reconciliation in your company
I can help you review forwarder charge reconciliation, connect documents and confirmations, and identify the participants and next steps.
We can also discuss similar difficulties and related foreign trade tasks in your company.
We will agree on the scope before work begins.
Compare three sources
Retrieve the current commercial offer and order confirmation, documents on completed operations, and the invoice itself.
Check the currency, billing unit, quantity, period, and included services.
A ‘per container’ rate and a ‘per day’ rate require different source data.
Clarify who is the customer and payer for a specific service.
Do not draw a conclusion based only on the delivery basis or document recipient: you need to check contractual relationships and confirmations.
If there was a route change or an additional operation, find the approval and basis for the cost.
The lack of approval is a matter to be reviewed, not a reason to rewrite the invoice amount on your own.
Charges review register
All notations are conditional; the table does not establish an accounting procedure.
| Line | What to reconcile with | Possible next step |
|---|---|---|
| Freight | Rate confirmation and booking | Clarify currency and inclusions |
| Demurrage | Events, period, and tariff | Request a calculation by dates |
| Additional work | Order and completion confirmation | Find the basis for the charge |
| Similar repeated invoice | Service number and payment history | Check for duplicates |
| Different payer | Contract and order | Request clarification of the role |
For each disputed line, specify the amount, specific reason, attached evidence, and the owner of the response.
Invoices with similar descriptions may relate to different operations.
Handle disputes according to the counterparty’s procedure
Check the applicable deadlines and communication channel.
Provide the exact line, expected value and source, as well as supporting documents.
Keep the reference number of the request and the response.
Maersk’s terms are an example of process organization, not a universal rule for all freight forwarders.
A pending dispute does not in itself mean the right to withhold any payment or offset the amount.
Finance and legal specialists check the payment terms and possible restrictions in the contract.
The decision should be visible separately from the invoice verification status.
Incorporate clarifications into the next shipment calculation
After the review, update not only the invoice archive but also the list of inclusions in the future rate request.
If one issue arises regularly, make it a mandatory field in the commercial offer.
Link actual charges to the economics of the agro-export deal.
In management calculations, mark confirmed expenses and outstanding amounts separately.
This way, the expected margin will not appear final until the reconciliation is complete.

Check requirements and contractual terms for the specific product, country and shipment.
