Leave Should Not Turn into Hidden On-Call Duty
The manager has left, but colleagues keep asking him for each container number and the latest invoice version.
There’s an auto-reply in the email, but the work handover hasn’t taken place.
For the export team, the problem is especially noticeable when the deadline falls in a different time zone.
Preparing for replacement is the responsibility of the manager and the team.
The goal is for the assigned employee to be able to continue active shipments and understand the boundaries of their decisions.
This is an organizational methodology, not a labor law guideline or a requirement to be available during leave.
Discuss shipment handover to a covering colleague for your business
I can help structure shipment handover to a covering colleague, gather the required information and evidence, and agree responsibilities and next steps.
We can also discuss similar difficulties and related foreign trade tasks.
We agree the scope and any specialist involvement before work starts.
Hand Over Active Shipments
Don’t send the entire archive of correspondence to the replacement.
For each incomplete delivery, create a short record.
| Field | What the replacement needs |
|---|---|
| Current status | The last confirmed fact and source |
| Next action | A specific operation and agreed time with time zone |
| Open question | Whose response is expected and when to remind |
| Decision | Who has the authority to agree on price, change, or exception |
| Access | Where the documents are and whether there’s personal access |
| Backup contact | Who to contact if the main participant is unavailable |
The links should open under the replacement’s account.
There’s no need to share someone else’s password instead of setting up access.
Conduct a Brief Handover Check
Ask the replacement to open one real card and describe the next step in their own words.
Then present a hypothetical scenario: the carrier reports a time shift.
The employee should find the conditions, contact, and decision-maker, not guess the answer.
GitLab’s public guide includes a practice of preparing coverage for active requests before an employee’s absence.
For foreign trade, we use a general organizational principle — an assigned executor and accessible context.
GitLab’s internal leave schedules and norms do not apply to a Russian company.
Separate Execution from Authority
The replacement can conduct correspondence and collect information, but this does not necessarily give them the right to sign documents or approve additional expenses.
The manager determines the available actions and the approval path in advance.
For urgent situations, keep the contact of the current responsible person, not an automatic rule to call the person on leave.
Notify the relevant delivery participants about the working contact.
Only share information necessary for their task.
Return the Cases Without Losing Information Again
After the absence, you need a list of changes that occurred: which obligations were accepted, which documents were replaced, and which questions remain.
Don’t ask the employee to reconstruct a week’s worth of work based solely on incoming messages.
This handover differs from daily handover across time zones: here, the executor changes for an extended period.
Checking access and decision boundaries is just as important as the task list.
Internal management guidance; examples are hypothetical.
Overseas sources do not establish Russian legal requirements.
Check authority, contract terms, restrictions and mandatory procedures for the specific transaction.
