The task has been transferred, but the next participant cannot start
The Russian coordinator has finished their working day and wrote to a colleague, “Take a look at the documents.”
In another time zone, the recipient does not know which file is current, what exactly to check, and whom to ask a question.
The start of work is delayed until the next overlap of schedules.
The problem is solved not by the mandatory availability of all participants around the clock, but by sufficient written context and an agreed response to exceptions.
Let’s discuss the foreign trade team work in your company
I’ll help you analyse your situation: a key issue arrives after the end of a shift and loses a day without an owner.
We’ll discuss solving this and related foreign trade tasks in your company, the distribution of responsibilities, and the next steps.
The scope of support will be agreed upon before starting the work.
Transfer the solution, not a folder without explanation
In the message, indicate the shipment, the required action, the current version, the open question, the basis, and the response deadline with the time zone.
If the deadline depends on an external event, explain this connection.
Separately, name the person who can make a decision in the absence of the sender.
In GitLab, written context and asynchronous communication are used as a foreign practice of distributed work.
This is not a case of agro-export and is not proof that calls are always worse.
An urgent ambiguous question may require a conversation; its result is then recorded in writing.
Template for transfer between shifts
All designations are conditional.
The parties agree on working windows and deadlines independently.
| Field | Training record | What the recipient checks |
|---|---|---|
| Context | Batch P, specification approval | Do I understand the goal? |
| Version | Link to the approved source | Do I have access? |
| Action | Check the highlighted discrepancy | Is the result clear? |
| Deadline | Date, time, time zone | Is the time unambiguous? |
| Exception | Who decides in the absence of data | Who to contact? |
The answer “accepted” does not yet confirm the readiness to complete the task.
The recipient separately notes the missing context or the inability to meet the agreed window.
When correspondence is no longer enough
If the parties understand the subject of the decision differently, organise a coordinated conversation with the necessary participants.
Do not add the entire team without a role to it.
After the conversation, save the decision, the current file, and the next step.
Do not consider the absence of a response at night a violation of the agreement if availability has not been agreed upon.
In case of repeated delays, check the quality of the transfer and the actual overlap of working windows, not just the recipient’s discipline.
Conduct a trial transfer before the critical stage
Take one task and check whether the colleague can continue it without clarifying with the author.
Record the missing links, authorities, and deadline definitions.
For the history of decisions, use the export deal card.
Convenient transfer preserves the shipment context and allows participants to work at an agreed time.
