The ‘need halal’ request requires clarification
The buyer requests a certificate but has not specified the country of use, the accepting organisation, the product, or the site.
Promising the document before these clarifications is risky: the presence of a certificate for a group of companies does not explain whether it applies to the required products.
The general Codex recommendations on the term ‘halal’ take into account the interpretation of the competent authorities of importing countries.
They do not constitute a single permit for any market.
The coordinator first clarifies the request and the scope of confirmation, then organises the verification with relevant participants.
Let’s discuss the halal confirmation request in your company
I’ll help you analyse the halal confirmation request, collect initial data and confirmations, identify participants and next steps.
We’ll also discuss similar challenges and related foreign trade tasks in your company.
The scope of support will be agreed upon before starting the work.
Verify the recognition and scope of the document
Request from the buyer the exact purpose and applicable requirements.
From the competent organisation, clarify the current procedure for recognising the certification body and the suitability of the document for the market.
The logo on the website does not confirm such suitability.
Compare the product, manufacturer, site address, certificate scope, validity period, and conditions.
If necessary, verify the composition and processes with the manufacturer.
Do not consider a single letter of intent as a substitute for verification.
Requirements for labelling, import, and product safety are considered separately.
Clarification sheet before promising the buyer
The form is intended to prepare the request, not for self-certification.
| Question | Where to confirm |
|---|---|
| Which country and purpose? | Buyer and relevant participant |
| Which product and site? | Manufacturer |
| Is the certification body accepted? | Current competent source |
| What does the document cover? | Scope and conditions of the certificate |
| What has changed since issuance? | Manufacturer and confirmation authority |
Keep the verification date and source of the response.
Do not declare a list found in an old letter as current without verification.
Return the change for verification
An illustrative scenario: the certificate was verified, then the manufacturer replaced the ingredient supplier.
The coordinator passes the change to the relevant participant so that they determine the impact on the scope and conditions of confirmation.
You cannot simply transfer the previous mark to the new composition.
Similarly, changes in the production site or product designation are analysed.
Do not conclude compliance based on the product’s appearance and do not use the mark before confirming the applicable rules for its use.
Close the request with a specific response
The buyer needs a response on the product and market, not an abstract promise of ‘we’ll make any certificate’.
Indicate what has been confirmed, by whom, as of which date, and which questions remain open.
Timelines and costs are discussed after determining the applicable procedure.
Link the result with the export product dossier.
Halal confirmation, if required, remains a separate block; it does not replace other conditions for admission and shipment processing.
A practical management guide.
Examples are illustrative.
Check requirements and contractual terms for the specific product, country and shipment.
Internal forms do not replace official procedures.
