Delivering Goods and Document Compliance Are Different Tasks

The goods have been prepared and shipped, but for settlement under the letter of credit, a set of documents in accordance with its terms is important.
Proper shipment in itself does not confirm compliance with the documentary presentation.

The manager needs a matrix of requirements for a specific letter of credit before execution begins.
A general template does not replace verification by a banking specialist: the wording, deadlines, and applicable rules are taken from the current instrument and its agreed changes.

Let’s discuss control of terms and settlements in your company

I’ll help you analyze your situation: the team checks documents under the contract but does not compare them with the letter of credit terms.
We’ll discuss solutions to this and related foreign trade tasks in your company, the distribution of responsibilities, and next steps.
The scope of support will be agreed upon before work begins.

Analyze the Text Before Ordering Documents

Pass the current letter of credit text to a party competent to verify it.
List the required documents, their preparers, essential conditions, deadlines, and the method of presentation.
Clarify whether the conditions can be met with the chosen goods and route.

Assign an owner for each document and someone to verify the entire set.
If a condition cannot be met or is ambiguous, discuss the issue with the bank and counterparty before execution.
Do not assume that the bank will accept a convenient document replacement or that the buyer’s letter automatically changes the letter of credit terms.

Control Matrix of Presentation

The training template is filled out based on the actual letter of credit text; deadlines are intentionally not specified here.

Requirement Where It’s Stated Who Prepares It What to Check
Document Section of the current text Designated preparer Required format and content
Goods Data Specific wording Document responsible Compliance with applicable requirement
Date and Deadline Respective section Coordinator and specialist Feasibility of compliance
Presentation Transfer conditions Designated participant Channel and confirmation of receipt

Illustrative scenario: the carrier offers a document with wording differing from the stipulated one.
The coordinator flags the issue and obtains a professional clarification.
They do not close the line just because the goods have indeed been shipped.

How to Act in Case of a Discrepancy

Save the text being verified, the document version, and a precise description of the discrepancy.
The responsible specialist determines the available course of action, considering the terms and stage of presentation.
The possibility of correction, term modification, or other actions is not automatically assumed.

Do not rewrite documents without coordinating with their preparers, and do not alter facts to make the text match.
Quality inspection of goods and documentary verification have different objectives.
Neither an internal table nor a buyer’s employee’s consent guarantees payment.

Establish a Single Control Set

Store the current letter of credit and amendments separately from canceled versions.
Before presentation, verify the entire set using one matrix and save the verification result.

Linking participants and versions can be facilitated by a deal card in CRM.
The manager needs a list of open discrepancies with owners and specialist decisions.
Marking the end of internal verification as receipt of payment is incorrect: this is a separate verifiable event.
