The minimum doesn’t depend only on vehicle capacity

The buyer requests a small trial batch.
The manufacturer is ready to ship, but document preparation, transportation organization, and acceptance create costs that don’t decrease proportionally to the tonnes.
It’s not enough to define the minimum based solely on the availability of goods.

Separate three questions: the technically feasible volume, the economics of a specific shipment, and the buyer’s readiness to accept such a format.
This is a management calculation, not a rule for the minimum export batch for all goods.

Separate batch costs from unit costs

Collect the cost of goods and operations that vary with volume.
Separately record the costs that, in the chosen scenario, apply to the entire shipment.
The boundary is conditional: when switching to a different vehicle, packaging, or route, some costs change in steps.

Don’t allocate all general company expenses to a single trial shipment without a chosen methodology.
But also don’t show its profitability only as the difference between the goods price and the purchase price.
For the decision, the manager must see the composition of included costs and calculation exclusions.

Total batch costs and unit costs are separated before choosing the volume.

Educational example of two volumes

Let’s assume the hypothetical price is 35,000 monetary units per tonne, variable costs are 30,000 per tonne, and the chosen batch costs are 60,000.
There are no taxes, exchange rate differences, or other company costs.

Volume Revenue minus variable costs After batch costs
5 tonnes 25,000 −35,000
20 tonnes 100,000 40,000

In this simplified model, the arithmetic break-even point is 12 tonnes: 60,000 / 5,000.
This is not a ready-made minimum order: you need to confirm rates, acceptance, cash flow, and other conditions.

Don’t increase the volume just to distribute costs

A larger shipment can reduce the unit share of fixed costs but requires more money and confirmed demand.
Unsold stock doesn’t disappear because of an attractive price per tonne.

For a small test, you can consider a different format or support boundary if it’s technically and legally feasible.
Each option must be recalculated entirely.
Don’t promise a consolidated shipment until the operator has confirmed suitability for the given goods and packaging.

A larger volume requires separate verification of funds, demand, and acceptance.

Provide the buyer with justified options

Show what volume and format have been calculated, what’s included, and what assumptions remain.
If the trial batch deliberately has a separate commercial goal, the manager records acceptable costs and the result criterion rather than labeling it as profitable.

This article adds a decision on order size: the minimum emerges from a verified configuration, not from a universal number of tonnes.
