Sample approval has a specific scope
The buyer wrote ‘the sample is suitable’.
It’s unclear what they checked: appearance, taste, solubility or performance in their process.
Without clarification, the message can easily be turned into a promise of quality for all future shipments.
Organise the link between the sample, the product and the assessment result.
The procedure for its import, documents and applicable restrictions should be specified separately: the word ‘sample’ does not automatically exempt the shipment from requirements.

The scope of support will be agreed before starting the work.
Agree on the testing purpose before shipment
The manufacturer identifies the product, batch or method of sample preparation and its packaging.
The buyer formulates the purpose and evaluation criteria.
Record how the sample represents the future shipment and what differences are already known.
Keep the identifier, preparation date, transfer conditions and recipient.
Relevant participants determine the necessary requirements for safety and handling.
Do not send the goods without checking the route feasibility and documentation, even if there is no commercial invoice for the sale yet.

The training form is not an official authorisation document.
| Stage | What to keep |
|---|---|
| Preparation | Identifier and link to the product |
| Purpose | What the buyer checks |
| Transfer | Recipient and delivery confirmation |
| Testing | Method or agreed scenario |
| Result | Written conclusion and limitations |
Separately note the criteria that were not checked.
The absence of comments on the appearance does not confirm safety or technological suitability for all indicators.
Compare the future shipment with the approved sample
Illustrative scenario: the sample was produced using one method, while the main shipment is planned to be obtained after a different processing.
The coordinator shows the difference to the buyer and the relevant specialist.
They determine whether a re-assessment is needed.
Do not erase the identity of the first sample or use its number for another product.
In case of a dispute, compare the actual differences and the agreed testing scope.
The sample can be part of contractual acceptance only under the conditions that the parties actually agreed upon.
Close the stage with a clear decision
Record which product and by what criteria was approved, what is still required and under what changes a re-check is needed.
It is important for the manager to see the confirmation boundary before the main purchase and the promise of a deadline.
Link the result with the export product dossier.
Use a separate written agreement for the specification.
A good outcome of working with a sample is a confirmed answer to a specific question, not an unconditional mark of readiness for all shipments.
A practical management guide.
Examples are illustrative.
Check requirements and contractual terms for the specific product, country and shipment.
