A price request may not contain the task for calculation
The buyer asks for a price ‘for export’ but does not specify the product, quantity, and delivery point.
The team wastes time on a quote that later turns out to be inapplicable.
It is useful to first determine the minimum initial data.
RFQ here means a request for a commercial offer.
Qualifying such a request means checking its completeness for calculation, not automatically confirming the buyer’s reliability or the readiness of the deal.
Let’s discuss the initial data of the buyer’s request in your company
I’ll help you analyze the initial data of the buyer’s request, collect the initial data and confirmations, identify the participants and next steps.
We’ll also discuss similar challenges and related foreign trade tasks in your company.
The scope of support will be agreed upon before starting the work.
Ask questions that change the price and delivery feasibility
Clarify the exact product and purpose, volume, packaging, delivery location, expected period, and payment terms.
If the buyer is still choosing an option, split the scenarios instead of providing one ‘universal’ price.
Determine the role of the interlocutor: buyer, representative, intermediary, or technical participant.
The contact is not necessarily authorized to commit.
Verifying the counterparty and their authority remains a separate procedure.
Do not send sensitive documents just to maintain interest in an incomplete request.
Minimum RFQ card
This is a learning structure that the company adapts to its product.
| Field | If data is not available yet |
|---|---|
| Product and purpose | Clarify the description |
| Volume and unit | Agree on a scenario |
| Packaging | Request acceptance by the recipient |
| Location and period | Indicate the calculation assumption |
| Payment and currency | Submit for approval |
Record what values the buyer provided and what the team proposed for a preliminary assessment.
The assumption should not silently turn into an agreed condition.
Provide a preliminary response without unnecessary promises
Learning example: there is a product and volume, but the destination warehouse is unknown.
The company can request the address or provide a limited scenario with a clearly stated boundary.
Do not promise the final door-to-door cost without data on the final leg.
Ask to confirm the missing information and assign the next step.
If the request changes, return the affected part for calculation.
The number of quotes sent does not in itself indicate the quality of sales work.
Submit the complete request for calculation
Agree on an internal criterion: with what data you can consider a preliminary scenario and with what data you need to prepare a verifiable offer.
Assign a person responsible for open questions.
This will allow you to see the reason for the wait without blaming slow work.
Next, use control of the version and validity period of the offer.
Checking the request saves rework but does not replace subsequent agreement on the product, counterparty, and contract.
A practical management guide.
Examples are illustrative.
Check requirements and contractual terms for the specific product, country and shipment.
Internal forms do not replace official procedures.
